Before discussing solutions, it is important to understand: most clients who miss an appointment do not do it on purpose. They are not rude or inconsiderate — they are simply human.

The most common reasons for no-shows:

  • Forgetting: the appointment was made two weeks ago, daily life is hectic — and suddenly it is Wednesday evening and the appointment was this afternoon. Without a reminder, this happens regularly.
  • Date confusion: the client is certain the appointment is Thursday — but it was Wednesday. A frequent mistake that a written confirmation prevents entirely.
  • Unexpected events: something comes up at the last minute — the children are sick, the meeting ran long, the train was delayed. Without a simple way to cancel or reschedule, the client simply does not appear.
  • Lack of commitment: if the booking was made by phone or via WhatsApp with no written confirmation, the appointment feels less binding than a formal written confirmation.
  • Reluctance to cancel: some clients do not want to disappoint you and would rather say nothing — hoping you will not mind too much. This is counterproductive, but it is a real pattern.

The Legal Framework in Switzerland (Cancellation Fees)

Many studio owners wonder: can I charge for a missed appointment? The short answer: yes — under certain conditions. Here is the legal basis for cancellation fees in the Swiss context.

Legal basis: Code of Obligations (OR)

Under Swiss contract law (Art. 97 OR), anyone who fails to fulfil a contractual obligation — i.e. does not attend an appointment — is liable for the resulting damage. As a studio, you can theoretically claim compensation. In practice, however, this is difficult without a clear written agreement.

Requirements for a legally enforceable cancellation fee:

  • Clear communication before booking: the client must have been expressly informed of the cancellation policy at the time of booking. A note in the terms and conditions or directly in the booking form is sufficient — but it must be there before the appointment is confirmed.
  • Reasonable cancellation period: 24–48 hours is typical. Anything shorter is difficult to enforce legally and appears unfriendly to clients.
  • Proportionate amount: the fee must correspond to the actual damage. 50–100% of the treatment price is common in practice — provided you were unable to fill the slot otherwise.

nDSG note: if you store credit card data or personal information as security, you must communicate this transparently and in compliance with the Swiss Data Protection Act (nDSG) — stating the purpose of data storage and the retention period.

Practical recommendation:

Formulate your cancellation policy clearly and in a friendly tone — not as a threat, but as information. For example: «Free cancellation up to 24 hours before the appointment. For late cancellations or no-shows, a cancellation fee of 50% will be charged.» Place this notice prominently in the booking form and in the confirmation email.

Deposits or Credit Card Guarantees — When They Are Worth It

Automatic reminders solve the problem for most studios. But for studios with a particularly high no-show rate or for expensive treatments, two additional instruments exist: deposits and credit card guarantees.

Deposit

The client pays a portion of the treatment cost at the time of booking — typically 20–50%. Advantages:

  • High commitment: someone who has paid CHF 30–50 upfront is very likely to appear
  • If there is a no-show, you keep the deposit — it covers at least the basic costs
  • Filters out «casual bookers» who reserve multiple slots at different studios simultaneously

Disadvantages:

  • Higher booking barrier — some clients will prefer a studio that does not require a deposit
  • Slightly more complex to set up technically
  • Refund processing required for legitimate cancellations

Credit card guarantee

The client stores their credit card at the time of booking. If they do not show up, a cancellation fee is automatically charged. Advantages:

  • Lower booking barrier than a deposit (no immediate payment)
  • Automatic charge in case of no-show — no awkward conversation necessary
  • Established model in hospitality and healthcare — increasingly common in wellness

Disadvantages:

  • Not all clients have a credit card or are willing to provide it
  • Payment providers charge transaction fees (2–3%)
  • If the client disputes the charge, it can become complicated

When is it worth it?

  • For treatments over CHF 150: a CHF 50 deposit is acceptable at this price point
  • For new clients without a booking history: regular clients generally do not need to be secured
  • When the no-show rate remains above 5% even with reminders
  • For long treatments (90+ min.), where a no-show is particularly painful
